Who this covers
Heads Up Board is a shared planning board for households and teachers. This policy explains what the app stores, why it stores it, and how you remove it. If you are a parent or guardian adding a child, you are responsible for the information you enter about that child.
Information the app collects
- Account details: your email address and password (stored hashed by our authentication provider), or, if you sign in with Google, your Google account email and display name. We never see or store your Google password.
- Household details: the household name, its join code, and the names, roles (parent, co-parent, caregiver, child) and optional grade/class of each member you add.
- Planning content: items you create — projects, excursions, lessons, activities, chores and events — with their titles, notes, due dates, lead time, optional cost and completion status.
- Teacher content: if you use the teaching side, the class name, grade, optional school name and subject, class join code and the updates you post.
- Notes you scan: if you use “Scan a note”, the photo or text you provide is sent to our AI provider (Google, via the Gemini API) once to extract a task, then discarded. It is not stored by us beyond the item you choose to save. Don't scan anything you wouldn't otherwise put on the board.
- Technical data: standard server logs and error reports needed to keep the app running and secure.
What we do not collect
No payment details, no location tracking, no advertising identifiers, no contact-list access. We do not sell or rent your information, and we do not use it for advertising or profiling.
Children's information
Children do not create households on their own — a parent or guardian invites them with the family code. Keep what you enter about a child to the minimum you need (a first name and a grade is usually enough). Please don't add medical, identity-document or other sensitive details.
Who can see your information
- Household content is visible only to members of that household.
- Class updates are visible to the teacher who posted them and to households that connected with that class code.
- Access is enforced in the database itself with row-level security, not only in the app.
- If you connect an AI assistant through the app's agent integration, that assistant can read and add household items on your behalf, and only while you keep it connected.
Processors we rely on
Supabase (database, authentication and hosting of your data), Lovable (application hosting and deployment) and Google (for Google sign-in if you choose it, and the Gemini API when you scan a note). They process data on our instructions to run the service.
How long we keep it
Your information is kept while your account exists. Deleting your account removes your sign-in, your profile and your household membership immediately. If you created the household, the household and its items are deleted with it; if someone else created it, the shared plans stay with the remaining members. Backups roll off within 30 days.
Your choices and rights
- Access and correction: everything about you is visible and editable in the app — your name, your household name, members and items.
- Deletion: Account & settings → “Delete my account” removes your account permanently, with no waiting period. See how to delete your account, including if you can't sign in.
- Export: ask us and we'll send you a copy of your household's data.
- Withdraw a household member: parents can remove any member from the Family page at any time.
Security
Data is encrypted in transit, passwords are hashed, and every table is protected by row-level access rules so one household can never read another's. No system is perfect — if you spot a problem, please report it to us so we can fix it quickly.
